Exhibit Booth Information:
The 2026 AIHEC Conference on Education will be offering exhibitor and vendor booth space. A schedule has been arranged to provide the best opportunities for public contact with conference participants and visitors. Booth space will be available in Exhibit Hall A at the Bismarck Civic Center.

Set-up Sunday, March 15 from 1:00 pm to 7:00 pm
Monday, March 16 from 9:00 am to 5:00 pm
Tuesday, March 17 from 8:00 am to 5:00 pm
Take down Wednesday, March 18 after 12:00 Noon

You will be charged the student rate of $150 for the conference.
Notice to Exhibitors From Bismarck Event Center
Listed below are regulations that will be enforced during exhibit shows.

Please refrain from bringing in any outside food or beverages during show hours. If you have a dietary need or medical condition, please visit with Bismarck Event Center staff beforehand for approval.

The use of propane or bottled gas within the building is prohibited. Containers must be removed from the vehicle before it is brought in.

Any tanks containing compressed air or other materials (helium, CO2) must be supported by a base or tied with non-combustible ties or chained to some type of support to prevent their tipping or falling. Any tanks not in use must have a protective cap attached at all times. LP tanks shall be limited to 12 lbs. or less.

Nothing may be hung or taped in any manner to portable or sound walls in the facility. Decorations, signs, banners, etc. may not be nailed, tacked, stapled or otherwise fastened to ceilings, walls, doors, painted surfaces or columns unless done by or under the direction of Bismarck Event Center staff. Painters tape or gaffers tape can be used. Check with Bismarck Event Center staff before hanging anything to get permission. Do not use chairs to stand on to hang banners. A number of ladders are available for use from the Bismarck Event Center.

No staples, stick pins or tacks may be used on draping and/or tables. We do not allow any items to be hung in any manner (including the use of tape) from our draping. Show curtain hooks or clothes hangers can be used to hang items from the top cross bar only.

No holes may be drilled, cored or punched in the building.

No painting or welding is permitted in the building.

If cleaning chemicals are used (tire cleaners, etc), protective measures must be taken to protect the floor surface and finish. Cleaning products must be water based.

No adhesive backed (stick-on) decals or similar items (except name tags) may be distributed or used in the building. Magnetic backed decals are allowed.

Any vehicle displayed in a show must have the battery cables disconnected unless the vehicle has a kill switch, which must be turned off. The gas or fuel tank must either be taped or locked and may contain no more than ¼ tank of fuel or 5 gallons whichever is less.

Any sample food and/or beverage products that may be distributed must have prior approval by Event Center Management. Food sampling must be covered by a food permit. All vendors must comply with fire codes in the building. Use no open flames and use flame retardant materials in your booth design. For safety purposes, cooking should be done at the back table or your booth, not the front and you must bring a small fire extinguisher approved for electrical fires. Plastic throw away gloves must be worn at all times while doing food sampling.

Helium Balloons are permitted only in the Exhibit Hall Lobby as part of decoration for the event with prior approval. Balloons must be tied down and weighted to prevent them from floating to the ceiling. There will be a charge of $5.00 per balloon for any left on the ceiling. Helium balloons are NOT permitted in the arena, Exhibit Hall A, B, C or D for any purpose.

The BEC requires the use of residue resistant carpet tape. Tape must be removed and residue cleaned up immediately after the show.

Electrical service is provided within 50 feet of booth location. Exhibitors should provide their own extension cords or multi strips.

The state of North Dakota requires all exhibitors to have a state tax permit and must register with the Secretary of State if they are going to be making taxable retail sales in North Dakota. Giveaway items must comply with building policy. No guns, knives or other dangerous weapons are allowed in the Bismarck Event Center.

SHIPPING INFORMATION
The Bismarck Event Center uses a third-party vendor for all freight services. All freight must be shipped to, and picked up from Jobbers, not the Event Center. Jobbers will deliver the freight to the Event Center on the appropriate move-in date. How you ship to Jobbers is up to you. The Bismarck Event Center will only accept freight from Jobbers.
Preregistration is required for Jobbers Convention Freight Services.

When we receive your request, your forms will be emailed to you. These PDFs are fillable forms and should be complete and submitted back to Jobbers at cfs@jobberswarehouse.com. Jobbers will always reply (usually within the hour). Often emails can be routed to your "Junk" or "Spam" folder within your email client. Please make sure that you monitor that folder for emails from cfs@jobberswarehouse.com.
Return Shipping:
Thank you for using Jobbers Convention Freight Services. To assist you in preparing to leave the Bismarck Event Center and ensure your freight arrives promptly to your next location please follow these steps:

Pack and seal your freight in your boxes and crates as necessary. If your freight arrived on a pallet and you need a pallet for return delivery the Event Center staff will provide you with one.

If freight is being shipped individually all pieces must have identification markings of either company or booth number. If shipped on a pallet the pallet must be banded or wrapped if they are unstable.

If freight is crossing international borders it should have two copies of all required customs papers plus appropriate courier international shipping papers. Jobbers nor the Event Center stock these forms.

Leave all freight in your booth location ensuring the following paperwork is also attached to your cluster of freight. A completed Jobbers Return Shipping Form. This form tells us how much we should expect to receive from the Event Center and Bill of Lading. This allows us to release your freight to your chosen courier. A Bill of Lading is not required for FedEx or UPS type shipments as the applied sticker is their Bill of Lading. Bills of Lading are required for over the road couriers. Copies of the BOL or UPS/FedEx preprinted labels can be emailed to cfs@jobberswarehouse.com and we will apply them to your shipments if necessary

If your freight requires any special attention (Banding, Shrink Wrapping, or Re-Boxing) and you haven’t spoken to Jobbers about it, simply make a notation on your Return Shipping Form describing what you would like done and we will accommodate you. The Cost of Banding is $50 per item, the cost of Wrapping is $25 per item, and the cost to ReBox is based upon our current box prices and labor, but typically will not exceed $25 per item.

Ensure you leave no personal information behind (copies of Credit Card form, receipts or personal items that you did not intend to ship)

Your freight will be left in the booth and transported by the Event Center to the dock. Jobbers will receive your freight and return it to our warehouse, where your couriers will pick up from us.

Any freight left behind that was not delivered by Jobbers will be returned to the Jobbers warehouse and you will be required to register the shipment as if you shipped it to Jobbers before it will be released to your courier.

LOADING AND UNLOADING: Except for loading and unloading, parking inside the Bismarck Civic Center, in the bay area or in front of loading doors is prohibited.
